Description:

The main function of the general office administrative assistant is to relieve the CEO of select administrative duties. The individual will handle a wide variety of complex and confidential situations, resolve any clerical or administrative conflicts that may arise, and prepare routine and advanced correspondences (e.g., letters, memoranda, and reports). some tasks may require the individual to call on subordinates for assistance. Given the wide variety of duties, the individual is expected to possess advanced familiarity with the concepts, practices, and procedures of running an ecommerce business. Leadership skills and creativity are desired. Individual will report to CEO.

Duties:

  • Preparation of invoices: import invoices from selling terminals to MAS90 accounting system; print invoice copies for shipping department; communicate with customers information regarding product availability and order delivery
  • Customer relations management: handle customer support emails and phone calls; process returns and credit memos
  • Inventory management: conduct monthly inventory; reconcile inventory discrepancies; enter new inventory into database
  • Accounts receivable management: review vendor purchase orders; handle customer returns
  • Vendor account management: handle vendor contracts and establish new vendor relationships
  • Gift wrapping
  • Trade show attendance

Requirements:

  • Associate's degree or higher, with minimum four (4) years experience
  • Computer skills, including advanced familiarity with Microsoft Office applications (e.g. Excel, Access, Outlook, Word)
  • Experience with customer service, order processing, and inventory management
